How Filter Flair collects, uses and protects personal information.

Privacy policy

This policy explains what personal information Filter Flair collects when you visit filterflair.co.uk, buy from us, contact us or deal with us as a trade customer, why we collect it, who we share it with and what your rights are. Last updated 3 September 2026.

1. Who we are

Filter Flair UK Limited is the data controller for the information described here. Company number 12578218, registered office Unit 12, The Cobden Centre, Vere Street, Salford M50 2PQ. We are registered with the Information Commissioner's Office, registration number ZA866940. If you have any question about your personal information, email sales@filterflair.co.uk or call 0161 768 9566, Monday to Friday, 9am to 5pm.

2. The information we collect

When you order. Your name, email address, phone number, billing and delivery addresses, what you bought, and your payment method. We never see or store your full card number; payments are handled by Shopify Payments, PayPal or Klarna.

When you create an account or subscribe. Your login details, order history, saved addresses, and your filter subscription settings.

When you contact us. What you tell us by email, phone, live chat or our contact form, including any photos you send of your appliance or installation.

When you browse. Technical information such as your IP address, browser and device type, the pages you view and how you arrived at the site, collected through cookies and similar technologies. Our Cookie Policy lists them and explains how to change your choice.

When you leave a review. Your name (or the name you choose to show), your review and any photos, collected through Judge.me.

Trade customers. Your business name, your name and role, contact details and, if you apply for a credit account, the information needed to assess it. For trade prospecting we may also use publicly available business contact details, including from business databases such as Apollo, to introduce our trade services to businesses we think would benefit.

3. Why we use it and the legal basis

UK data protection law requires us to have a lawful basis for each use. Ours are:

  • To fulfil your order (contract): taking payment, sending your goods, handling returns, exchanges and refunds, running your subscription, and answering your questions.
  • To run the business (legitimate interests): keeping accounts and records, preventing fraud, improving the site and our products, understanding which marketing works, and defending legal claims.
  • To keep you informed (consent, or the soft opt-in for existing customers): emails and texts about products, filter replacement reminders and offers. You can stop these at any time using the link in any message or by contacting us.
  • To show relevant adverts (consent where the law requires it): measuring whether our adverts led to a purchase and showing you adverts on Google, Meta, Pinterest and Microsoft platforms. UK visitors can switch this off at any time through Cookie settings; EU visitors are asked first.
  • To meet legal obligations: tax and accounting records, responding to lawful requests, and product safety.

Klarna carries out its own checks when you choose to pay with it and is a separate data controller for that; its privacy notice explains how.

4. Who we share it with

We share only what each provider needs to do its job, and they may not use your information for their own purposes except as described in their own privacy notices.

  • Running the shop: Shopify (our platform and checkout), Shopify Payments, PayPal and Klarna (payments), Appstle (subscriptions), SparkLayer (trade accounts), Loop (returns), AMP (basket), Judge.me (reviews).
  • Delivering to you: Royal Mail and our courier partners, who receive your name, address and phone number for delivery updates.
  • Talking to you: Klaviyo (email and text messages), Commslayer (support and live chat), Alia (on-site offers).
  • Measuring and advertising: Google (Analytics, Ads and Tag Manager), Meta, Pinterest, Microsoft (Advertising and Clarity), Metrion (sends purchase events to Google Ads), Intelligems (page testing), UpPromote (affiliate tracking).
  • Running the business: our accounting software, our internal customer and reporting systems, and professional advisers such as accountants and lawyers.
  • Authorities where the law requires it, and a buyer or successor if the business is sold.

We don't sell your personal information.

5. Where your information is stored

Some of the providers above are based in, or store data in, the United States. Where information leaves the UK we rely on the UK-US Data Bridge, the UK Addendum to the EU Standard Contractual Clauses, or another safeguard recognised under UK law, and we check that the provider offers an appropriate level of protection.

6. How long we keep it

  • Orders, invoices and payment records: six years after the end of the financial year, as tax law requires.
  • Your account: until you ask us to close it. Filter replacement reminders continue while your subscription or reminder is active.
  • Marketing preferences: until you unsubscribe, or after three years without opening or clicking anything from us.
  • Support conversations: two years after the conversation closes, longer if it relates to a warranty or claim.
  • Reviews: for as long as they're published; you can ask us to remove yours.
  • Website analytics: up to 26 months, in aggregated form where possible.
  • Trade prospecting data: until you tell us you're not interested, or 12 months without contact.

7. Your rights

You can ask us to:

  • give you a copy of the personal information we hold about you;
  • correct anything that's wrong;
  • delete it, where we no longer need it and aren't required to keep it;
  • stop or restrict how we use it, including stopping all marketing;
  • send it to you or another provider in a usable format;
  • explain any decision made about you automatically. The only automated decisions in our process are fraud screening at checkout, run by Shopify and the payment providers, and Klarna's credit checks if you choose Klarna.

To use any of these, email sales@filterflair.co.uk. We'll reply within one month and we don't charge. If you've connected to us through Facebook, our Facebook data deletion page explains how to remove that link.

If you're not happy with how we've handled your information, tell us first and we'll try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

8. Security

Our site and checkout run on Shopify's platform, which is certified to the PCI DSS standard for card payments and encrypts information in transit. Access to customer records within Filter Flair is limited to the people who need it for their job. No system is completely secure, so if you believe your account has been compromised, contact us straight away.

9. Children

Our products and site are for adults. We don't knowingly collect information from anyone under 18. If you believe a child has given us personal information, contact us and we'll delete it.

10. Changes to this policy

We update this policy when the way we handle information changes, for example when we add or remove a provider. The date at the top is the date of the current version. Significant changes will also be flagged on the site.
